Officer Position Descriptions
President- Attend ICC meeting, presides at all club meetings and oversees activities, check in with adviser weekly, register members in the national organization, represent the club at Optimist or JOOI functions and attend JOOI district conference which is held once a year, appoints and supervises committee members; votes in case of a tie
Vice President 1- Keep membership roster information up to date, maintain record of service hours; send Ms. K updates, print service hours every month for bulletin board, send service hours chart to the Webmaster for it to be put on club website, make sure event form is turned in to ASB for each activity
Vice President 2- Make sure 'Master calendar' form is turned in to ASB for each activity, keep club brochure updated and check that ASB has a supply, update club calendar (bulletin board) at general/office meetings, maintain club bulletin board and officers' board, update event chart-make sure each activity is listed and who is in charge
Secretary - Write agendas for meetings for Ms. K , write minutes for general and officer meetings, give ASB copy of minutes and agenda for general and officer meetings, put copies of agendas and minutes in notebook from each meeting, write and report correspondence such as thank you notes, etc.
Treasurer- keep accurate account of budget and follow the ASB financial guidelines, deposit money for each event separately in a timely manner, complete 'Revenue Potential' and 'Fundraising Recap' forms reports for all fundraisers, pay bills through ASB office using 'Purchase Order' form after club approval, make copies of all transactions, account encumbrance reports should match club's balance
Webmaster- Update web page every week, mass e-mail members weekly notices of upcoming events or reminders, attach photo gallery on website, attach service hours on website, update Octagon Club's Facebook page, create general meeting PowerPoints
Club Representative - Attend all ICC meetings and report to the advisor and the officers, check mailbox weekly, maintain ASB Club Notebook and make sure all forms are completed, organize and maintain the club office and cabinet, make copies of activity sign-up forms, sign-in sheets and other forms
Historian/Publicity- write bulletin announcements weekly, take pictures of each activity or make sure someone does, maintain club photo history, make/organize club posters/flyers and get ASB approval
Service Director- Find, create, and plan various service activity possibilities, make sure all service projects follow the Event Planning Procedure, organize and arrange transportation for service activities, make sure Octagon participates in all required ASB activities, in charge of fundraising activities
Social Director- Find, create, and plan various service activity possibilities, in charge of beginning of the year icebreaker for new members, make sure all activities follow the Event Planning Procedure, in charge of end of the year banquet, in charge of icebreaker/bonding events at service events
-every officer must give up around 1 hour every week for Octagon Club whether you're in the club room, preparing things at home, research events, help other club members, etc.
-do not be intimidated by how much you have to do, it's balanced in a way that almost every officer will do the same amount of work. And always help other officers out.
